When you contact us
We collect the name, email address, organisation, area of interest and message you submit so our team can respond and follow up. Only authorised staff can review your enquiry. Mailtrap delivers enquiry notifications and staff sign-in emails on our behalf. Enquiries are not added to a marketing list.
Please do not submit patient records, medical images or sensitive health information. The website contact form is not a clinical service.
Staff sign-in
The staff portal is restricted to verified Clinara work accounts. Email sign-in uses a short-lived, single-use link and an essential session cookie. Google sign-in uses your account identifier and verified email address. Website sign-in does not grant access to Clinara ID or clinical information.
Cookies and abuse prevention
Essential session cookies keep forms and staff sign-in secure. We do not use advertising or analytics tags. Google reCAPTCHA helps protect the contact and sign-in forms and processes browser and device information for abuse prevention. Google’s Privacy Policy and Terms of Service apply. Our abuse-prevention counters use a hash of the connection address or sign-in address.
Storage and access
Enquiries are stored separately from public website files and are accessible to authorised staff. Hosting, email delivery and spam-protection providers process information needed to operate these services; this can involve processing outside your country. Development and live systems use separate credentials and storage.
We retain enquiries for handling and relevant follow-up, and remove information when it is no longer needed, subject to any applicable record-keeping obligations. Sign-in links expire after 15 minutes. The private mail queue removes message bodies after delivery or expiry.
Your requests
To ask about your enquiry, or request access, correction or deletion, use the contact form and select General enquiry. Include enough information to help us identify your message, without sending sensitive documents. We may need to verify your identity before acting on a request.
